Privacy policy - Personal data processing for requesting and using services for the Exhibition – NetZero Milan 2025

Article 13 of (EU) Regulation 2016/679 - General Data Protection Regulation

 

The personal data provided by the User, when filling in the form for requesting of one or more of the specific services[1] (hereinafter, the “Services”) for the  NetZero Milan 2025 exhibition (the “Exhibition”) and disclosed during the use of said Services and for the Exhibition[2], including data acquired from third parties[3], are collected and processed by Fiera Milano S.p.A., as Data Controller (hereinafter, “Fiera Milano” or the “Company”), for providing the requested Service, in accordance with the relevant contractual conditions or conditions of use[4], and managing the relationship with the User, as well as for performing relevant regulatory, accounting and tax requirements and carrying out administrative, organisational and technical processes necessary for delivering the service.

For these purposes, processing the User's personal data, acquired in the ways indicated above (identification data, contact details, requested and used services, payment data, company information, job title, etc.), is necessary for establishing and executing the contract relevant to the requested Service, for fulfilling relevant legal obligations and for pursuing the Company's legitimate interests to carry out the aforementioned administrative, organisational, technical and security related operations relevant to providing the Service, managing the relationship with the User and its participation in the Exhibition at one ot the exhibition areas of Fiera Milano(Fiera Mialno Rho, Allianz MiCo), as well as any defence of rights in a court of law. In such cases, it is mandatory or at least necessary for the User to provide the requested personal data, and failure to provide it, even partially, would make activating and providing the requested Service impossible. The User may freely decide whether to provide additional data, such as additional phone numbers and additional employment information, which may be used for improving or customising the Service, as well as facilitating contact and communication with the Company: disclosing additional data for the latter purposes is optional and failure to disclose this data does not affect the use of the requested Service.

For the purposes outlined above, the User's personal data:

  • a) is also processed by Fiera Milano using electronic devices, mainly computerised procedures and appropriate methods for ensuring data security and confidentiality, and may be retained for the duration of the Service and Exhibition and, on termination, for the period of time set out by current regulations for administrative, accounting and tax purposes, as well as in the event of disputes or litigations, under the statute of limitations of the rights which may be exercised in this regard;
  • b) may be seen by the Company’s authorised employees and collaborators and those working for the facilities responsible for carrying out administrative, technical and security operations relevant to providing the requested Service and the Exhibition’s organisation and management;
  • c) may be disclosed by Fiera Milano to other companies in the Fiera Milano Group (see the updated list available on fieramilano.it) and to trusted companies which, depending on the Service requested, provide organisational and technical services such as, for example, fitting, support and maintenance, printing, data processing, administrative consultancy, performance measuring. Companies processing personal data on behalf of Fiera Milano act as data controllers;
  • d) may, depending on the Service requested, be disclosed to other parties participating in the Exhibition (exhibitors, buyers, visitors, etc.);
  • e) may be transferred to third party Countries outside the EU, only in accordance with European Commission rulings where the data protection regulations in force in those countries is recognised as adequate, or on the basis of adequate safeguards (such as standard contractual clauses or binding corporate rules for groups), or, in the absence of such conditions, only where the User authorises this transfer or where it is necessary for executing a contract with the User or on their behalf;
  • f) may, where exhibitors are concerned, also be disseminated through the Exhibition’s website and catalogues, based on the obligations set out in the relevant contract or where requested by the user (see as example Digital Platform service).

The email address and postal address, provided by the User to use the Service and participate in the Exhibition, may be used by the Company to send Exhibition newsletters as well as sending relevant information about further editions of this or other similar events, organised by the Company, and for similar services as the one requested by the User, who may object at any time to any such communications by forwarding a message of objection from the associated email address to privacy@fieramilano.it or by posting an objection communication to our Company at the address indicated below. 

The GDPR provisions (articles 15-22) guarantee the User has the right to access their data at any time, to correct or complete data if incorrect or incomplete, to delete their data or limit processing where conditions are met, to object to data processing for reasons related to their specific circumstances or for direct marketing purposes, to request the transfer of data given, if processed automatically to carry out the contract or based on the User's consent, as well as to lodge a complaint with the Privacy Guarantor of a Supervisory Authority to protect their rights.

Privacy Policy - Processing of Personal Data for Commercial Purposes

In accordance with Article 13 of Regulation (EU) 2016/679 – General Data Protection Regulation (GDPR), Fiera Milano S.p.A. (hereinafter also referred to as "Fiera Milano" or the "Company") intends to provide the User with certain information regarding the processing of personal data concerning them for commercial or marketing purposes.

If the User is interested, Fiera Milano may process the data necessary for registration to the Event (name, surname, email) and any other personal data provided by the User for the following additional purposes:

1.      Sending advertising materials, direct sales, conducting market research, or commercial communications regarding events, exhibitions, and services of Fiera Milano S.p.A., companies of the Fiera Milano Group, and third-party companies, via mail, telephone, automated calling systems, fax, email, SMS, MMS;

2.      Automated analysis and evaluation of the User's behaviors and preferences related to events, exhibitions, and services of interest (profiling purposes);

3.      Communication of data to other companies of the Fiera Milano Group (listed in the updated list available at the following link: https://www.fieramilano.it/azienda.html), as well as other companies, such as organizers, exhibitors, fitters, sponsors, qualified operators participating in the Event or operating in the field of organizing trade fairs and conferences (both physical and digital) and the related services, for independent processing as data controllers, for the purpose of sending direct marketing communications about their services and products.

For the purposes described above, the processing of personal data may only take place if the User has given their consent (Article 6, para. 1, letter a) GDPR), which can be revoked at any time (without affecting the legality of the processing based on consent before the withdrawal). Providing personal data and consent is voluntary for the User, and failure to provide them will not affect the provision of the requested services.

The User’s personal data may be retained for direct marketing purposes (point 1) and for data communication purposes (point 3) for a period of 24 months from the date of consent acquisition, and for profiling purposes (point 2) for a period of 12 months from the date of consent acquisition.

For the purposes mentioned above, the User’s personal data may be accessed by authorized personnel of the Company who are authorized to carry out administrative, technical, and security activities related to the purposes described above.

The personal data may also be communicated to other companies of the Fiera Milano Group and service companies (e.g., IT and telematics service providers, trade fair service providers, call centers, research companies, etc.) acting as data processors on behalf of Fiera Milano.

The personal data may be transferred to third countries outside the EU, only in compliance with decisions by the European Commission that recognize the adequacy of the data protection laws in those countries or based on adequate safeguards (such as standard contractual clauses or binding corporate rules for groups), or, in the absence of such conditions, if the transfer is authorized by the User or necessary for the performance of the contract with them or in their favor.

The provisions of the GDPR (Articles 15-22) guarantee the User the right to access their data at any time, to rectify or complete them if they are inaccurate or incomplete, to delete them or request the limitation of their processing if the conditions are met, to object to their processing for reasons related to their specific situation and to object to their processing for direct marketing purposes, to request the portability of the data provided, where processed in an automated manner for the performance of the contract or based on the consent of the data subject, as well as to file a complaint with the Data Protection Authority for the protection of their rights.
